Hardware purchasing procedures

Introduction

The SDS Purchasing Team is responsible for the acquisition of desktop hardware equipment for the DOI and its clients. Desktop hardware covers desktops, laptops and other hardware peripherals such as printers, multi-function devices, scanners and PDA’s.

The University has a Preferred Supplier Arrangement for the supply of desktop computers, laptops, printers, photocopiers and multi functional devices as outlined by the Purchasing and Contracts Office (Finance and Business Services).

DOI supports computers that are part of the preferred suppliers Dell, Acer (Dataflex) and Lenovo for PC’s and Mac1 for Apple Computers.

Please note that hardware that is not supported must be tested in the IT environment, prior to purchase, so that the DOI can make necessary recommendations.

Timeframe

Below is an approximate timeframe to process a request for new hardware. While endeavouring to meet clients’ requirements and deadlines, there are aspects that are sometimes beyond the control of DOI. In particular, for equipment that is not covered under the preferred supplier arrangment, the technical staff will need to be consulted prior to organising the purchase, in order to determine whether these new products are compatible with or feasible to use on current systems. SDS Purchasing will always advise the client if the request will take longer to process then detailed below.

Brief Summary of Tasks Involved

Estimated Time Required

Upon receipt of a request:

  • Assess the item for suitability
  • Contact supplier for quotes and pricing
  • Liaise with the client on any issues that may arise and obtain approval and charge code for purchase

5 working days

After placing an order:

  • Pending delivery of the item
  • Resolve any problems relating to order and delivery issues
  • Inform the client on the progress or any matters with regard to the order and delivery

10 working days

On receipt of the item:

  • Notify the client of receipt of the item
  • Organise with DOI Helpdesk for setup of the item
  • Liaise with the client on any issues or delays that may arise with the setup
  • Delivery of the item

5 to 10 working days

In total the entire process takes approximately 1 month.

Hardware Specifications

Dell, Acer, Lenovo and Apple are presently the preferred suppliers of Desktop and Laptop equipment for the ANU unless clients specifically request a different brand, in which case consultation with DOI should be sought and the processes outline by UP&CO should be followed.

As a guideline, provided below are information on basic specifications and commonly ordered models for:

Specifications for other hardware peripherals will be looked at upon receipt of a request. Specifications can be adjusted to suit the requirements of the client.

2.4.1. Desktop PC

The current model of a desktop is always sought. The minimum specifications are listed below and the system usually comes with integrated Chipset, Ethernet Networking, Graphics (upgrade ability for Video Card), Audio and internal speaker.

  • Warranty – 3 Years Next Business Day Parts and Onsite Labour and Technical Support
  • Memory – 2GB (2x1GB) Dual Channel DDR2 667MHz SDRAM Memory

2.4.2. Laptop PC

The current model of a laptop is always sought. Laptops come in different screens, capacities and weights. The minimum specifications are provided below and the system has integrated Modem, Audio, Ethernet Networking, Graphics Chipset and internal keyboard.

The minimum specifications for an iMac are listed below. The system comes with built-in Video, Audio, Ethernet Networking and Wireless AirPort Extreme 802.11g.

2.4.4. Apple PowerBook

Listed below are the minimum specifications for an Apple MacBook Pro. PowerBooks come in different screens, capacities and weights. The system has built-in Video, Audio, Ethernet Networking, Wireless AirPort Extreme 802.11g and Bluetooth 2.0.

  • Processor – 2.33GHz Intel Core 2 Duo

2.4.5. Printer

DOI supports printers, both monochrome and colour, preferably manufactured by Hewlett Packard, Lexmark and Konica.

DOI supports multifunction devices (MFD) and scanners, both monochrome and colour, preferably manufactured by Konica Minolta and Canon.

The DOI supports PDA preferably manufactured by HP or similar with the following specifications:

  • 320 x 240, 65K colours, 16 bit resolution
  • 64 MB SDRAM main memory and 256 MB flash ROM
  • Integrated WLAN 802.11b/g with WPA2 security, Bluetooh 2.0 with EDR
